Correspondence Coordinator
The Correspondence Coordinator is a key member of the Office of the Deputy Director-General team. In this position you will be responsible for ensuring the effective coordination of high-quality correspondence such as reports, briefing notes, letters, memos, responses and other material for the Deputy Director-General of Corporate Services Division (CSD). This includes ensuring that all correspondence is distributed appropriately, is consistent with style guides, follows necessary review and approval processes, and is completed within required timeframes.
About this role
Your Key responsibilities:
- Receive and autonomously track, allocate, monitor and report on all incoming and outgoing correspondence for the Office of the Deputy Director-General in accordance with defined correspondence workflows, whilst using independent judgement to recognise and escalate urgent correspondence when required to ensure that time-critical requests are met.
- Collate, proof read, and edit outgoing correspondence, ensuring consistency with relevant templates and style guides and that necessary review and approval processes have occurred.
- Assess the potential confidentiality and sensitivity of all correspondence, including that relating to cabinet and parliamentary submissions, and ensure that confidential and sensitive information is managed with appropriate security controls.

- High level of attention to detail with demonstrated ability to collate, proof-read and edit high volumes of correspondence such as letters, memos and briefings within an executive office.
- High level communication, interpersonal and negotiation skills with the demonstrated ability to professionally represent a work unit.
- Demonstrated time management skills and ability to use initiative, prioritise workload and meet deadlines in a high output and dynamic environment that is often time critical.
